Student Affairs Assistant - Trips & Events (Part Time, 20h/week), Vienna
The Institute for the International Education of Students, or IES Abroad, is a non-profit study abroad organization, situated in Chicago, that administers study abroad programs for U.S. college-aged students. Founded in 1950 in Vienna, the organization now provides more than 125+ programs in 19 countries and 33 cities. Over 115,000 students have studied abroad on IES Abroad programs since its founding, with more than 6.000 students studying abroad each year.
Aufgaben
Student Affairs Assistants are here to help IES Abroad students. They are one of their first contact points and should therefore be approachable and trustworthy.
- Overseeing the reception during core working hours (on a rotating basis)
- Providing information to students about IES, Vienna, and their resources and events (public transportation, doctors, theater and concert tickets, travel, etc.)
- Supporting staff across all departments, especially with administrative tasks
- Preparing materials and documents for Student Arrival, Orientation, and "Welcome Days", as well as providing assistance during these busy periods of each semester
- Chaperoning field trips, excursions and actively participating in IES Events
- Assist Trips & Events Coordinator with various tasks
- Help create schedules for students and chaperones
- Assist in preparing trip materials (student information, schedules, confirmation, vouchers, medical supplies, etc.)
- Work with Trips & Events Coordinator in communication with students via email with trips/events related inquiries
- Help organize orientation / special events for semester students
- Cover rotating Emergency Phone (assisting students during hospital visits if needed)
Profil
- Valid Austrian work permit
- Willing to work overtime and weekends during busy times
- Written and spoken fluency in German and English
- Proficient in Microsoft Office, quick in mastering other software (e.g. Airtable, Trello, Canva, etc.)
- Ability to speak comfortably in front of groups
- Open-minded, team-oriented, takes initiative and has creative problem-solving skills
- Experience in workingπ with university-aged students preferred
- Reliable, organized, service-oriented, experience in the field of tourism or event management is a plus

Salary: minimum €1.100.- gross salary per month
