Job Description

The Institute for the International Education of Students, or IES Abroad, is a non-profit study abroad organization that administers study abroad programs for U.S. college-aged students. Founded in 1950 as the Institute of European Studies, the organization has since been renamed to reflect additional offerings in Africa, Asia, Oceania, and Latin America. The organization now provides more than 125 programs in 19 countries and 33 cities. Over 115,000 students have studied abroad on IES Abroad programs since its founding, with more than 5,700 students studying abroad each year.

Student Affairs Assistant - Reception & Social Media (Part Time, 20h/week)

Student Affairs Assistants are here to help IES Abroad students. They are one of the students' first points of contact and should therefore be approachable and trustworthy.


Aufgaben
  • Overseeing reception during core working hours (on a rotating basis)
  • Providing information to students about IES, Vienna, and their resources and events (public transportation, doctors, theater and concert tickets, travel, etc.)
  • Distributing incoming mail and packages, handling deliveries to the institute building
  • Supporting staff across all departments, especially with administrative tasks
  • Preparing materials and documents for Student Arrival, Orientation, and "Welcome Days", as well as providing assistance during these busy periods of each semester
  • Chaperoning field trips, excursions and actively participating in IES Events
  • Overseeing the Language Buddy Program and other immersion projects
  • Regular posting to the IES Abroad Vienna Instagram page - 2-3 grid posts per week, and regular stories to keep page active
  • Community management and engagement with the Instagram page, replying to comments, commenting on other IES Abroad centers' posts, resharing correspondents' posts, etc.
  • Creating reels, staying up to date with current social media trends
  • Creating and maintaining a posting schedule to organize content posting
  • Naming and submitting best photos from the different IES Vienna programs to head office in Chicago via Brandfolder - at least 3x per year
  • Submitting updates for monthly internal IES Abroad staff newsletter
  • Serving as a back-up for the IES Vienna Emergency Phone

Profil
  • Valid Austrian work permit
  • Willing to work overtime and weekends during busy times
  • Written and spoken fluency in English, proficient in German
  • Familiar with using Instagram and posting (especially scheduling posts, what works well for the algorithm, basics of creating reels, etc.)
  • Proficient in Microsoft Office, especially Outlook, Word and Excel
  • Friendly, open-minded, dedicated, team-oriented, adept at human relations
  • Quick in mastering other software (e.g. Airtable, Trello, Canva, Capcut etc.)
  • Ability to speak comfortably in front of groups
  • Reliable, organized, takes initiative and has creative problem-solving skills
  • Experience working with university-aged students preferred

Number of Hours: 20 per week
Salary: minimum €1.100.- gross salary per month
