Job Description

We have an exciting opportunity for a Site Administrator/Receptionist to join our Kingspan Century team in Monaghan, Ireland working 39 hours per week.

We manufacture, supply and erect the timber frame structural shell.

As the Site Administrator/Receptionist you will provide administrative support to the site operations team and to provide a full front of house, customer support service to include interaction with visitors and managing incoming emails and calls.

Responsibilities of our Site Administrator/Receptionist

  • Provide effective administrative support to Site Operations team.
  • Ensure Sub Contractors details including training, insurance, Health & Safety and audit findings etc. are recorded and are up to date.
  • Liaise with Site Operations Manager to prepare the initial tender packages to be sent to subcontractors.
  • Manage the subcontractor payment schedule, validation of invoices and supporting documents ensuring accurate logs are maintained.
  • Liaise with clients, sub-contractors and the Site team to ensure the efficient processing of project documentation.
  • Engage with inhouse technical & onsite teams to request and provide information to subcontractors and clients.
  • Assist with the organisation of wellbeing initiatives and events.
  • Organise refreshments for meetings where required.
  • Meet and greet visitors and direct to the appropriate person.
  • Administration of incoming and outgoing mail and deliveries.
  • Answering, screening and forwarding incoming calls.
  • Monitoring, sorting and forwarding of emails to appropriate area of the business.
  • Maintaining office security by following safety procedures & controlling access.

What we are looking for in our Site Administrator/Receptionist

You will have:

  • A minimum of 2 -3 years' experience working in an administrative or customer service role.
  • Excellent IT skills, proficient in Microsoft Office Suite (Word, Excel, Outlook,Sharepoint).
  • Strong customer service skills with the ability to handle inquiries and complaints professionally.
  • Exceptional organisational skills with the ability to multitask and prioritise effectively
  • Ability to work on own initiative
  • Strong attention to detail and quality orientation.
  • Excellent inter-personal, communication and written communication skills
  • Good at owning, documenting and resolving issues
  • Flexibility and adaptability to changing priorities in a dynamic work environment.

Whilst not essential, the following would be of benefit:

  • Strong experience working with and managing Sub Contractors
  • Good numeracy and analytical skills.
  • Experience managing digital construction solutions/ platforms ie, Zutec, Procore Technologies
  • A related third level qualification is highly desirable.
