Job Title: Senior Administrator
Location: Glasgow Airport Business Park
Salary: Up to £30,000 per annum
Hours: 40 hours per week, office-based

About the Role:
I am working with a large private sector organisation, recruiting for a permanent Senior Administrator to join their Quality, Health & Safety Department. This role is integral to ensuring the smooth operation of the department's administrative tasks, from day-to-day operations to financial and asset management. This is an exciting opportunity for a professional who thrives in a fast-paced environment and enjoys problem-solving, multitasking, and improving administrative efficiency.

Key Responsibilities:
1. Administrative & Office Management
Handle a wide range of administrative tasks to support the department's operations.
Maintain office systems, update documentation, and ensure compliance with company standards.
2. Invoice & Financial Administration
Oversee and process incoming and outgoing invoices, ensuring accuracy and timely payments.
Track financial records and follow up on overdue invoices.
3. Reporting & Compliance
Maintain and update various departmental reports, ensuring accuracy and accessibility for relevant stakeholders.
Regularly review and update office paperwork and internal procedures to meet company regulations.
4. Asset & Storage Management
Track and manage company assets, including inventory and equipment, ensuring they are maintained to high standards.
Oversee internal and third-party storage systems, ensuring compliance with guidelines.
5. Contractor & Supplier Coordination
Manage relationships with contractors and suppliers, ensuring compliance with service agreements.
Assist in onboarding and evaluating contractors to meet operational needs.
6. Customer & Complaint Handling
Support complaint management, ensuring professional and timely resolution.
Work towards continuous improvement in service delivery and customer satisfaction.
7. Team & Administrative Support
Provide general administrative assistance to the department and senior management.
Coordinate meetings, handle correspondence, and maintain organised filing systems.
Foster collaboration within the team to ensure smooth communication and workflow.

Key Skills & Qualifications:
Essential:
• Proven experience in a senior administrative or office management role.
• Strong organisational skills with excellent attention to detail.
• Effective written and verbal communication skills.
• Experience managing invoices, reports, and administrative systems.
• Ability to prioritise tasks and work efficiently under pressure.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Strong problem-solving abilities and the ability to work independently.
Desirable:
• Familiarity with compliance regulations in an administrative setting.
• Knowledge of asset management, contractor coordination, and compliance procedures.
