The People Coordinator will work within the People and Culture team and report to the Senior People Partner. They will work very closely with the People Partner's supporting with administrative tasks and ER related minute taking when needed. The ideal candidate will have a positive 'can do' attitude, happy to be in a support function and willing to learn and be adaptable to changing priorities, in a fast- paced HR environment. The purpose of their role is to be the first point of contact for the People and Culture team and the first person all our new starters meet on their first day, offering a high quality, personal welcome to staff at all levels of seniority.
Key responsibilities include responding to employee queries through management of the HR Helpdesk inbox, providing support to staff on the use of our HRIS (iTrent and Vacancy Filler), and coordinating the entire employee onboarding process and new starter processes including contracts, baseline personnel security checks, building access, creation of personnel files and uploading data in iTrent. The successful candidate will review HR forms and letter wording to ensure they reflect our approach of being friendly and knowledgeable, act as coordinator at official Union meetings taking and sharing minutes, and lead the administration of processes for renewing enhanced DBS checks, night worker risk assessments, visa documents, maternity risk assessments, recording and approving freelancer contracts, including IR35 checks and compliance. An additional key responsibility of the People Coordinator is to support the People and Culture team's employee wellbeing, diversity and inclusion, staff awards and recruitment initiatives.
The successful candidate will have excellent communication, listening and interpersonal skills with a friendly, approachable and supportive manner. They will be pro-active, able to use their own initiative and have a flexible approach to requests. The candidate will be highly organised with attention to detail, and the ability to balance and prioritise different tasks. An understanding of confidentiality and GDPR requirements are required for this role. Previous HR experience is essential, transferable experience may be considered (onboarding, recruitment etc). CIPD level 3 is desirable or a willingness to work towards this.
This is a permanent, full-time role in Band 7. Core hours of work will be 36 per week, 9am-5pm, Monday to Friday, with an additional hour to be worked as agreed upon with management.
