Job Description

Operations Manager

Our client is a UK based investment solutions boutique that focuses on supporting financial advisers, discretionary managers and asset owners and they require an experienced Operations Manager to be based in Central London, UK.

This is a Full time permanent role to start ASAP. You can work remotely 4 days per week and will work from the central London office on Mondays.

The right candidate should have keen interest in investments, and good experience in Operations and or Project Management.

Key Responsibilities:

Across the business including Sales, Marketing, Product, Technology and Corporate Teams.

SALES

  • Maintaining CRM database with monthly contacts upload
  • Monitoring sales pipeline and liaising with telesales team

MARKETING

  • Liaising with marketing team on website management (usernames passwords etc)
  • Booking event venues for events and managing Eventbrite, overseeing Events Manager for delivery event

PRODUCT

  • Client contract management (overseeing Legal)
  • Supplier contract management
  • Liaising with CTO on deliver of software projects
  • Maintaining records for Investment Committee, Product Committee and Index Committee
  • Liaising between investment team and marketing team for new product launch and ongoing maintenance
  • Maintaining version control on proposition templates
  • Liaising with Investment Director on product annual reviews

TECHNOLOGY

Digital Security

  • Liaising with Tech team on DRP and Password Vault

CORPORATE

Governance

  • Preparing and maintaining monthly board meeting records

Company Secretary

  • Liaising with Company Secretary regarding statutory filings

Regulatory

  • Liaising with outsourced Compliance Consultant For regulatory applications
  • Liaising with outsourced Compliance Consultant to maintain FCA RegData portal and filings
  • Liaising with outsourced Compliance Consultant to maintain FCA Connect portal and filings
  • Overseeing FD maintenance of TPR Auto Enrolment account and compliance

Finance

  • Liaising with FD for monthly budget and accounts
  • Liaising with FD preparation of monthly budget and variance
  • Maintaining signatory register for bank account

Legal

  • Liaising with counsel regarding contract management and record keeping

Insurance

  • Maintaining relevant insurance policies with insurers

HR

  • Updating and maintaining HR handbook with Lawrite
  • Maintaining holiday log
  • Maintaining group health and life cover records and LoWs
  • Maintaining UK visa website and records

Health & Safety

  • Maintaining Health & Safety policy and risk register

DRP

  • Disaster Recovery Plan maintenance

FACILITIES

  • Liaise with physical suppliers, landlord, managing agent and utilities

Requirements:

  • Good experience in Operations and or Project Management
  • Keen interest in investments
  • Proficient in MS Office
  • A self-starter
  • High literacy
  • High numeracy
  • Focus on detail
  • Calm under pressure
  • Good communication skills
