Job Description

HR Operations Specialist - Amsterdam

Human Resource support for employees and managers for an assigned region/country/function. Responsible for providing a positive employee experience through effective resolution of queries and facilitating the processes relating to the employee journey from Hire to Termination, with the exclusion of recruitment activities. In providing the People administration, the Specialist People Operations contributes to a solid People foundation for both internal and external parties. In providing first line communication to employees in a customer-focused manner, the Specialist People Operations contributes to the employee experience for their region(s) or country (countries) supported.

Key Responsibilities:

  • Administer a wide variety of personnel policies and processes, including document management.
  • Ensure HR processes, procedures, and documents align with local employment laws and regulations.
  • Handle people processing procedures such as contract/offer management, absence tracking, reporting, and employee data changes.
  • Maintain and manage the company's global HR system and tools.
  • Document internal queries following standard operating procedures.
  • Maintain employee records and personnel files.
  • Ensure compliance with work permit documentation and personnel changes.
  • Prepare and coordinate payroll change reports and audits within agreed timelines.
  • Explain regulations, policies, and procedures to employees and managers.
  • Respond to written and verbal inquiries, resolving issues and referring to appropriate personnel as needed.
  • Provide feedback and input to Business Partners on the employee handbook and HR systems.
  • Maintain employee bulletin boards, online libraries, and internal HR communications.
  • Organize and support regional/country-specific HR events (eg, health fairs, Ask.HR days).
  • Troubleshoot employee issues by liaising with various internal stakeholders.
  • Support onboarding of new People Operations Specialists and direct stakeholders.
  • Collaborate with country-specific stakeholders such as Advisory, Payroll, Recruitment, and external vendors.
  • Ensure data quality and conduct regular audits to maintain data integrity.
  • Support various HR initiatives, projects, and procedures, ensuring proper implementation and communication.
  • Ensure internal HR administration complies with global and region-specific laws.
  • Support Centers of Excellence (COEs) in business cycles, process optimization, and collaboration.
  • Ensure timely administration of new hires within defined Service Level Agreements (SLAs).
  • Execute all necessary changes in time for payroll deadlines.
  • Respond to employee inquiries and tickets within SLA timeframes.
  • Conduct work in a manner that meets employee satisfaction targets.
  • Complete all mandatory compliance training on time.
  • Identify and resolve HR-related issues that are not immediately evident in existing systems or processes.
  • Investigate and modify working methods to improve efficiency in the absence of defined procedures.

Education & Qualifications:

  • Education:

    • Specialized Diploma or Bachelor's degree (preferably in Human Resources or Business Administration).
  • Experience:

    • Minimum 1 year of relevant experience within People teams or
    • 2 years of experience in a similar capacity, including data processing in a customer-facing environment.
    • Human Resources experience preferred.
  • Technical & Professional Skills:

    • Working knowledge of People database systems (preferably Workday).
    • Proficiency in Workday, ServiceNow, MS Office, and Google Suite.
    • Basic knowledge of local labor laws is preferred.
