Job Description

Katie Bard is seeking an exceptional Executive Assistant to support the visionary CEO of a prestigious international luxury brand. This full 360-degree role demands a consummate professional who can thrive in a fast-paced, high-pressure environment whilst maintaining impeccable attention to detail. This role is mainly office based and will require flexibility out of hours.

As the right hand to our CEO, you will be instrumental in ensuring the smooth running of the executive office, facilitating seamless communication, and supporting the strategic objectives of our globally recognised brand.

In this pivotal role, you will expertly manage an intricate, ever-changing diary, prioritising and scheduling meetings whilst juggling conflicting demands with finesse. You'll arrange complex domestic and international travel, crafting detailed itineraries that span multiple time zones and accommodate last-minute changes. Overseeing comprehensive meeting management will be a key part of your responsibilities, including preparing agendas, curating presentations, and compiling supporting documents. You'll take meticulous notes during high-level meetings, swiftly distribute action points, and coordinate logistics for both on-site and off-site engagements, including venue selection and haute cuisine catering arrangements.

As the primary point of contact for VIP stakeholders, investors, and luxury brand partners, you'll manage communication flow between the CEO and board members with utmost discretion. Your role will include assisting in crafting polished investor presentations and reports, as well as coordinating exclusive shareholder meetings and annual general meetings.

Your administrative excellence will be crucial as you handle sensitive correspondence and documents with the highest level of confidentiality, maintain impeccable filing systems (both digital and physical), and process expenses and manage budgets with meticulous accuracy, adhering to company policies and international financial regulations.

Project coordination will be an important aspect of your role. You'll track key brand initiatives and global projects, preparing and distributing comprehensive progress reports. Liaising with department heads across international offices to gather pertinent information for the CEO will be essential, as will conducting in-depth research and preparing concise briefing notes on various topics relevant to the luxury market and brand positioning.

The role also involves providing discreet support for personal errands and tasks as required, and offering out-of-hours assistance for urgent matters, understanding the 24/7 nature of the global luxury industry.

The ideal candidate will have proven experience as a Board Level PA/EA within the luxury , high-end retail, events or related sectors. You will possess exceptional organisational skills with the ability to prioritise effectively in a dynamic environment, and demonstrated discretion and trustworthiness in handling confidential information. Advanced proficiency in Microsoft Office Suite and experience with high-end presentation software are essential, as are excellent written and verbal communication skills, with the ability to interact professionally with diverse stakeholders.

Cultural awareness and sensitivity to navigate international business etiquette are crucial. You must be flexible to work outside standard hours and travel internationally when required. A keen eye for detail and a passion for high profile status will set you apart in this role.
