Events Assistant

Contract until 31/03/2025

Plymouth, PL1 - Hybrid

£14.22 PH (37 Hours Per Week) Inside IR35, VIA Umbrella

The PCC Events team is seeking an Events Assistant to support on the Christmas Events and planning for delivery of the Event Programme for 2025. This includes managing the trader process, liaising with third party bookings, taking responsibility for a number of inboxes and supporting the team with administrative and practical tasks. This team player should have strong administration and communication skills, including comprehensive use of MS Office and be able to manage multiple tasks. This is a hybrid role and the successful candidate will be required to be in the office for a minimum of 2 days a week. Some weekend work may be required.

Key Accountabilities

  • Assist with all events (55%)

  • Manage and deliver small events (10%)

  • Produce events safety paperwork to include risk assessments and method statements (10%)

  • Provide general administrative support (10%)

  • Raising of purchase orders and routine financial administration (5%)

  • Data management (5%)

  • Deal with non-technical general enquiries (5%)

  • Public, partner and stakeholder satisfaction

  • Successful events

  • Appropriate procedures are put in place so that no significant incidents or accidents are reported and Incident Logs are kept for each event and analysed for lessons learnt

  • Resourcing spend is kept within departmental budget

  • Safe delivery of events

  • Accurate records and databases are maintained

Key Activiities

General support to Events Team (70%)

  • Plan and deliver small events such as film screenings

  • Support event and senior officers on medium and large events

  • Provide overall business support for team members

  • Drafting of routine risk assessments for small events

  • Support Event officers with planning and delivery of events as well as setting up or de-rigging onsite

  • Contribute to the development and delivery of the annual events plan

  • Support 3rd party event organisers collating and assessing documentation

Business support and finance (25%)

  • Support with bookings and licences for events

  • Arrange meetings which includes booking rooms and minute taking

  • Administer 3rd party Hoe bookings

  • Raising orders and sourcing suppliers

  • Monitoring budgets for small events up to £8k each

Data management (5%)

  • Setup and maintain event databases

Essential Experience

  • Events experience and specifically working on outdoor events

  • Experience of providing administrative support in an office environment.

  • Experience in using IT and Microsoft Office.

  • Experience of working within a team

Desirable Experience

  • Experience of event planning and delivery

  • Experience of multi-agency working particularly with the Police and Fire and

  • Rescue service to minimise safety risks to the public

Essential Skills

  • Experience of supporting the delivery of an event

  • Experience of working with external partners

  • Communication skills to exchange varied information, orally and in writing with a range of audiences

  • Keyboarding skills with precision and speed

  • Problem solving and creative skills to interpret information and solve straightforward problems

  • Ability to prioritise and meet deadlines
