Job Description
Administration and Monitoring Support Officer, Ballymena, Part Time Maintain filing systems and project files. Handle mail, email, voicemail, and enquiries daily. Screen and redirect phone calls. Use various computer packages and develop PowerPoint presentations. Perform purchasing and coding duties, keeping records for staff time allocation. Ensure compliance with procedures and cooperate with audits. Prepare agendas, reports, and minutes for meetings. Ensure necessary papers are available for meetings. Prepare financial, budgeting, and monitoring reports. Maintain detailed database records and input project information. Provide enquiry services and source information. Track directives and maintain priority management. Source quotations for project activities. Update and distribute literature and information packs. Research and compile data for Freedom of Information requests. Support promotional activities. Process invoices and project claims, maintaining accurate expenditure records. Ensure compliance with project and programme conditions. Provide advice and training on claims and record-keeping. Conduct regular monitoring, evaluation, and site visits with grant recipients.
