Job Description

The Masonic Charitable Foundation (MCF) is seeking a proactive and organised Property Assistant with an interest in building on their existing knowledge and/or experience within the property sector.

This role is essential in supporting all three members of the Property Team, understanding both the individual support requirements and the overall team needs, and working collaboratively to ensure the smooth operation of the Property Team as a whole.

The ideal candidate will either already be working within a property environment or have completed a property qualification and is now looking to gain practical experience within the field.

Strong administrative skills are essential for this role as well as being planned and organised. Previous experience or knowledge of purchase order systems would also be beneficial.

Description: To ensure the successful running of the MCF Property Department by providing excellent administration support services. Supporting all three members of the Property Department (MCF) to deliver a property portfolio that is fit for purpose, well maintained and statutory compliant.

Location: Covent Garden, London

Hours: 34 hours per week (early finish on Fridays)

Contract: Full-time, permanent role; probationary period of 6 months

Hybrid: Work from home up to two days per week

Salary: Circa £27,664 - £30,105 per annum (dependent upon experience)

Holiday: 25 days (rising to 30 after 5 years' service), plus additional 3 days to be taken between Christmas and New Year

Main responsibilities

  • To assist the Head of Property and the Asset Manager in the day to day management of property portfolio
  • To assist the members of the Property Department to ensure that any project work is delivered to project plan
  • To provide support to all property meetings and the Property Committee Meetings
  • To process invoices and record quotations
  • To ensure that all administration and property documentation is stored electronically and/or manually
  • To assist the Head of Property and any other members of the Property Team with the preparation of reports for Trustee Meetings or any other relevant meetings
  • To assist the Property Team with other administrative and ad-hoc tasks

Person specification

Essential

  • GCSE's (or equivalent) or qualified by experience
  • Experience of working within the property sector or able to demonstrate interest and knowledge of the property sector
  • Ability to take minutes
  • Knowledge of invoice processing and record keeping
  • Outstanding administrative skills with a focus on accuracy
  • Effective time management skills with the ability to prioritise and be pro-active
  • Excellent organisation skills including diary management and co-ordinating with multiple stakeholders
  • Ability to build effective relationships with a range of stakeholders
  • Good IT skills and comfortable using a range of systems and programmes

Desirable

  • Property related qualification
  • Experience or knowledge of the Charity sector
  • Knowledge of Tenancy Agreements
  • Knowledge of Health & Safety related to property management
  • Experience of report writing
