An esteemed architecture firm located in the West End is seeking a well-organised and detail-oriented Project Coordinator to join their team. This role is pivotal in supporting the team leader to ensure the smooth operation of the team and deliver an exceptional client experience. It's an ideal position for individuals looking to advance their project management career. Familiarity with MS Office: Word, PowerPoint and Excel - and Adobe InDesign would be advantageous in this role.

Day to Day of the role:
  • Act as the central point of contact for the team, providing a range of support to ensure seamless team operations.
  • Welcome new colleagues, providing guidance on workflow, systems, and health and safety procedures.
  • Encourage team members to maintain up-to-date calendars for accurate client communication.
  • Arrange travel, accommodation, meetings, and events, including refreshments as needed.
  • Onboard, train, and mentor new project coordinators.
  • Maintain and update project data, team contacts, and databases.
  • Manage project information, ensuring adherence to extranet protocols and high-quality document preparation.
  • Support statutory application submissions and maintain organised files.
  • Assist with administrative tasks such as typing, printing, and binding.
  • Uphold brand guidelines and support the communications team with project-related materials.
  • Manage timesheets, expense claims, and leave requests, and assist with project costing software queries.
  • Attend commercial reviews, create tasks, and ensure data is prepared in advance.
  • Coordinate subconsultant agreements and maintain supplier information.
  • Update project costing systems and generate reports for monthly commercial reviews.
  • Raise purchase orders and maintain credit card portals.
  • Oversee office supplies, maintenance, and cleaning to ensure a well-functioning work environment.
  • Manage health and safety records, fire risk assessments, and compliance actions.
  • Provide switchboard support and reception cover as needed.
