Your new company
Hays is working with a dynamic and forward-thinking organisation in the digital marketing sector, looking for an agile administrator to join the team. This client is committed to excellence and innovation, providing a supportive environment for professional growth.
Your new role
As a project administrator, you will work closely with the project manager, account manager, project buyers, and other team members to ensure the timely and accurate completion of project tasks and documentation.
You will be the go-to expert on internal system processes and requirements, ensuring all materials are completed correctly and on time. Your proactive approach will help anticipate and execute project details, supporting the larger team effort. You will also advise team members on necessary actions to complete project tasks, ensuring all documentation is thorough and timely.
Key Responsibilities:

  • Create, update, and maintain spreadsheets, unfunded reports, and internal system documentation.
  • Create and manage delivery notes, commercial invoices, and carton labels, including barcode labels using specialised software.
  • Raise and revise orders using our OMS system (The Hub).
  • Coordinate services as directed by the Team Buyer and Project Manager
  • Maintain team minutes and create server project folders, ensuring accurate archiving.
  • Attend weekly team meetings and maintain activity logs.
  • Serve as the expert user of client online systems, supporting the team.
  • Adjust and report stock levels for projects as needed.
  • Book couriers and handle packing boxes.
  • Manage internal logs and handle order confirmations, job close requests, job cost transfers, billing, and purchase orders.

  • What you'll need to succeed
    • Proficiency in IT packages, including Microsoft Office, Excel, Outlook, and Teams.
    • Exceptional accuracy and attention to detail
    • Adaptable, can work in a fast pace and high pressure environment
    • Able to prioritise and manage time effectively
    • Initiative to anticipate and complete tasks without extensive direction.
    • The ability to multitask and work across various teams and project details simultaneously.
