Job Description
REED Ipswich Business Support are recruiting for a highly organised and efficient Personal Assistant to support our client based in Woodbridge.
  • Annual Salary: £33,000 - £38,000
  • Job Type: Full-time
The role will be to support the Managing Director of the business. The ideal candidate will be adept at managing a variety of tasks ranging from administrative duties to project management, ensuring the smooth operation of the MD's schedule and responsibilities.Day to Day of the role:
  • Maintain the Managing Director's diary and coordinate meetings.
  • Manage payroll system and employee benefits, including contracts and letters.
  • Prepare quarterly VAT figures and create monthly briefings in PowerPoint.
  • Work closely with the Accounts Assistant to manage online payments.
  • Handle the Managing Director's monthly admin, including credit card bills and expenses.
  • Organise quarterly Management meetings and take minutes.
  • Prepare paperwork for Board meetings and update company forms.
  • Set up PCs and phones for new employees and manage company IT issues through third-party subcontractors.
  • Manage confidential paperwork for shareholders and Directors.
  • Run multiple projects as required, which could range from legal and financial tasks to IT security and presentation creation.
Required Skills & Qualifications:
  • 5 x GCSEs, grades A-C, ideally in mathematical or science subjects (or international equivalent qualifications).
  • Proven administrative skills and experience working with confidential information.
  • Proficiency in MS Office to an intermediate level.
  • Strong organising and planning skills.
  • Ability to research subjects and report findings.
  • An enquiring mind and the ability to press others for information.
  • Available to take up the position within 3 months.
Desirable:
  • Ability to learn new software packages.
  • Above-average understanding of IT.
  • Experience assisting with legal and financial tasks.
  • Experience managing multiple projects and payroll.
