Job Description

About the Team

The Group Management Services (GMS) is a small friendly team of 5 which sits at the heart of the Corporate Centre Group and plays a critical role in supporting the Directors, and Deputy Directors, helping them manage their time and resources effectively, and achieve their objectives. The team is integral to the success of the whole Corporate Centre Group, and the services we provide to HM Treasury and its wider partners.

Its smooth running is essential to ensuring that this busy Group is provided with excellent administrative support and that its Leadership Team receive first class PA support. About the Job

In this role, you will:

  1. Provide PA support for up to two Directors or Deputy Directors (D/DDs) in the Corporate Centre Group: Build a strong working relationship;
  2. Diary management. Lead all aspects of your SCSs' diary, including proactively plan, manage and coordinate the diary using your professional judgement to line up meetings in the most well-organised way, working with colleagues in order to effectively resolve conflicts, negotiate and allocate time to their priorities.
  3. Provide inbox management: work with D/DDs to agree a system of inbox management; proactively and strategically manage inboxes in line with preferences, including schedulers and meeting papers; update OneNote as necessary; prepare email correspondence on behalf of D/DD where requested.
  4. Provide meeting preparation and management: ensure D/DDs is briefed for meetings; identify and ensure D/DD has papers for meetings utilising OneNote; facilitate smooth running of meetings including room prep, technical support and minutes where required; take ownership of D/DD actions and support delivery against deadlines.
  5. Actively support wider GMS team: be a team player by working flexibly to support the rest of the GMS team; work together to cover absences; cover coordination of CCG responses to Parliamentary Questions, Correspondence and Freedom of Information requests.
  6. Actively support Corporate Centre Group and Leadership as a GMS team: take on cross-cutting tasks to support the CCG leadership team such as supporting CCG communications and events, performance appraisal, business continuity and business planning; support the wider Group as a point contact for administrative processes and corporate systems such as OneNote and the room booking system.

About You

The successful candidate will have the ability to build relationships and engage others, particularly senior colleagues to deliver on priorities and resolve issues. You will deliver a high-quality and professional service in a fast-paced office environment - including proficiency in using Microsoft Outlook and Office. You will be able to deliver without compromising the Service Level Agreement and will have experience of working as a PA/Administrator or similar role.
