Helpdesk Administrator required at Brixton prison, London

Job description:

Reporting to - Senior Facilities Manager

Job objectives and responsibilities: To be the first point of contact with the client. Providing operational support to the team, in a Facilities Management environment. This is achieved by answering phone, radio calls, e-mails and face-to-face queries.

Main duties:
- Make and receive telephone queries.
- Categorising and issuing of job cards for PPM's
- Reactive and remedials to the correct engineer and subcontractor.
- Ensuring that jobs are complete and returned in order to close dockets on the Prison CAFM system - (Planet FM)
- Monthly Reports and timesheets - keeping record of engineer's overtime.
- Issue of security keys and maintaining daily logs.
- Operating Planet FM maintenance program (training to be provided)
- Raising purchase orders on Coupa and keeping a record
- Sustain SMC/SSC/PCA filing and assist with the auditors' requests
- Other administration duties are filing work dockets, job cards and archiving.
- Minute taking Follow up on outstanding work and orders with subcontractors.
- Maintain spreadsheets.

Person Specification:
Previous administrative experience is essential.
Previous experience with a CAFM system or other FM systems is also essential.
Great people and communication skills.
Microsoft Office skills are essential - especially Excel.
