About you

This role will suit you if you have a natural ability with numbers, excellent attention to detail and strong organisational skills. You and the Operations Manager will be the only ops/finance people in our team, so it's important that you're self-motivated, reliable and flexible.

About the role

The role of Finance Assistant is crucial to the effective running of day to day operations at Kivu. Success in this role means that routine financial admin is reliably managed, allowing our Operations Manager to focus on delivering strategic projects across the organisation.

Core areas of responsibility are:

  • Accounts Receivable: prepare, send and track monthly invoices.
  • Each client has their own set of requirements for invoicing and reporting, so building a solid relationship with them will be key.
  • Accounts Payable: process team expense claims (including completing Director's expense claims on their behalf), process and track contractor invoices, handle bank transfers and support the Operations Manager with monthly payroll.
  • Bookkeeping: manage quarterly VAT returns, ensure accurate recording of our financial transactions in Xero and support with submitting our annual accounts.
  • Budget tracking: accurately enter data from timesheets, expense claims, and contractor invoices into project budget trackers.
  • Precision here is vital, as these trackers are our main tool for monitoring project budgets and form the basis of our client invoices.

This position is part-time at 3 days per week (21 hours) - we can be flexible with the days of the week that you work, we just ask that there is no more than one working day in-between your days. It can be conducted remotely from the UK or based in Kivu's London offices near Old Street.

The salary would be £30,000 full-time equivalent (£18,000 for 3 days), depending on experience plus benefits.
