About the role
The Fellowship Programme Administrator will be responsible for overseeing the onboarding process and administration of the Schmidt Sciences international fellowship programme and other global student fellowships and placement initiatives.
The postholder will be responsible for the operation and coordination of administrative systems to manage the programme (s) both remotely and on-campus and support the fellows in relocation and settling in, and ensure an excellent onboarding experience.
What you would be doing
You will ensure the smooth-day-to-day running throughout the Fellowship onboarding process, including regularly contact prior to the fellow's arrival in the UK, answering emails, speaking with fellows and acting as the logistical 'expert' for all details relating to the programme(s)
You will be a point of contact for staff and fellows for the programme and other visiting fellowship programmes as required throughout the year, and to facilitate contact between students and staff to foster network building.
You will work with HR, compliance and departmental administration contacts to provide clear and up-to-date visa and enrolment information and advice
You will collect and maintain up-to-date personal information required for records, and work with departmental administrators and HR to ensure that all fellows are correctly registered
You will process finance requests related to the programmes, including raising and paying invoices, making internal payments and negotiation with external suppliers
What we are looking for
- Proven experience of managing a variety of administrative tasks in a busy office environment
- Shown ability to prioritise and manage a workload, take ownership of tasks, and meet deadlines across multiple projects
- Excellent communication skills (written and verbal) with the ability to communicate effectively and with a wide audience of varying levels of knowledge and expertise
- Ability to work successfully and positively with a wide variety of internal and external stakeholders, from varying backgrounds and at varying levels of seniority
- Experience using MS Office packages (Word, Excel, PowerPoint)
- Understanding and respect for confidentiality, including the integrity and sensitivity of records
- Experience of delivering excellent customer service
