Job Description

We have an exciting opportunity for an Assistant Registrar to join the busy Registrar team in the national Collections Management and Information department, on a full-time contract until 28 February 2027.

We care for an important collection of over 1 million items on display at over 200 properties across England, Wales and Northern Ireland. We welcome millions of visitors a year to our properties and places.

The Assistant Registrar role is a fantastic opportunity to gain experience in all aspects of Registrar work, initially focusing on collections acquisitions and loans management. It is a varied role with plenty of opportunities to grow and develop your Registrar skills, working with a friendly and supportive team.

Your contractual location will be our head office in Swindon or potentially one of our regional hub offices and there will be an expectation for you to attend the office. However, there is flexibility on where you are based at other times. You will be required to work at a National Trust location for 40-60% of your working week. This will be discussed in more detail at interview.

The role will involve travel to our Head Office and occasional travel to properties to meet with stakeholders and to carry out work.

What you'll be doing

You'll be a member of the small but busy Registrar team in the national Collections Management and Information department. You'll provide great Registrar support to our properties, working initially on our programme of collections acquisitions and loans, with scope to work on other Registrar tasks as required. You'll have a strong attention to detail, ensuring collections information is accurately recorded in our database. You'll have the ability to manage a large number of ongoing projects at any given time, and to work flexibly in evolving situations. You'll help deliver training for our Trust teams about our collections management procedures, and provide timely and practical advice as needed.

You'll have great administration and organisation skills, and undertake key administrative tasks, such as managing inboxes, responding to emails, taking meeting minutes and writing reports.

We'd love to hear from you if you have:

  • Great people and customer service skills.
  • Strong communication skills, able to build relationships and liaise with colleagues across the Trust and externally.
  • Experience of using collections management systems.
  • Awareness of collections management procedures, Spectrum 5.1 and UK Museum Accreditation standards.
  • Proficiency in full suite of Microsoft Office tools.
  • Ability to multi-task, with attention to detail and able to maintain confidentiality.
  • Comfortable engaging and developing external stakeholders with ease and confidence.
