Administration & Monitoring, Temporary, Part-time

Your New Company
Hays are partnering with a public sector organisation to recruit a temporary Administration and Monitoring Support Officer, based in Ballymena, on a part-time basis.

Your new role

  • Maintain filing systems and project files for correspondence and claims.
  • Handle mail, email, voicemail, and enquiries daily; compile and distribute correspondence.
  • Screen and redirect incoming calls; make outgoing calls.
  • Use computer packages for spreadsheets, databases, desktop publishing, presentations; develop PowerPoint presentations and handouts.
  • Perform purchasing and coding duties; keep records of staff time across funding sources.
  • Collaborate with the Investment and Funding team; ensure compliance and cooperate with audits
  • Service meetings: prepare agendas and reports, distribute notices, take notes, prepare minutes, and compose correspondence.
  • Ensure officers have necessary papers for meetings.
  • Prepare financial, budgeting, and monitoring reports; advise on funding slippage; supply statistical data.
  • Maintain database records; collect and collate project information; input data into databases.
  • Provide enquiry service for Investment and Funding team issues; source information from various sources.
  • Track directives distributed to officers.
  • Source quotations for project activities per procurement policy.
  • Update and distribute literature on programs.
  • Research and compile data for Freedom of Information Act requests.
  • Support promotional activities of the Investment and Funding team.
  • Process invoices and project claims; maintain accurate expenditure records.
  • Ensure compliance with project and program grant conditions.
  • Provide advice on claims; offer training and outreach support


  • What You'll Need to Succeed
    Possess a minimum of 5 GCSEs to include Maths and English language (grade C or above) or equivalent qualifications to demonstrate numeracy and literacy.ANDBe able to demonstrate, by providing personal and specific examples, at least two years' relevant experience in:
  • Administration and Monitoring
  • Working on own initiative and as part of a team.
  • Excellent oral and written communication skills.
  • Excellent interpersonal skills.
