Receptionist and Administrative Officer
Location: Camberley, Surrey (Free Parking Available)Type: Monday to Friday, 8am to 4pm (37 hour week)Salary: £22,000 - £25,000
Position Summary:We are seeking a compassionate and organised Receptionist / Administrative Officer to join our team. This role is essential for ensuring the smooth and efficient running of the day-to-day operations within the organisation.
The ideal candidate will have excellent interpersonal skills, strong administrative abilities, and a genuine passion for supporting / helping others.
Key Responsibilities
Receptionist Duties:
- Welcome all visitors: Greet and assist visitors, clients, and staff with professionalism.
- Phone management: Handle incoming calls, provide information, direct calls to appropriate staff members, and take messages as needed.
- Calendar management: Manage calendars effectively for relevant personnel.
- Mail: Receive and distribute incoming mail and packages to relevant personnel; prepare outgoing mail and courier services.
Administrative Support Duties:
- Records administration: Assist with filing, data entry, attendance log, company calendar, and maintaining organised records and databases.
- Supplies: Monitor and manage supplies inventory, reorder as necessary, and ensure well-maintained records and monitoring.
- Event coordination: Assist in organising and coordinating events, meetings, and workshops, including preparation of materials and environments.
- Reporting: Support the preparation of reports, presentations, and other documents as required.
- Financial management: Reconcile petty cash / Zettle and act as the first responder for invoice queries as required by the Financial Controller.
Additional Responsibilities:
- Collaboration: Working with other team members to ensure effective communication and coordination within the organisation.
- Support: Provide administrative support as needed and directed by the Senior Leadership Team (SLT), including preparing correspondence and handling confidential information.
Qualifications Required:
- Education: GCSEs or equivalent, Maths & English essential; additional qualifications in office administration or a related field are advantageous.
- Experience: Proven experience in a receptionist or administrative support role
Skills Required:
- Outstanding verbal and written communication skills.
- Strong organisational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment.
- Ability to handle sensitive and confidential information with discretion.
